Postpack Ltd Anti-Spam Policy
Effective date: 13 October 2026
Policy owner: Postpack Ltd
Review frequency: Annually
1. Purpose
Postpack Ltd is committed to responsible communication. This policy sets out how we prevent unsolicited or unwanted electronic messages and ensure that our communications are relevant, transparent and easy to stop.
It applies to all employees, contractors and third parties sending communications on behalf of Postpack Ltd.
2. What we consider spam
Spam includes unsolicited, repetitive or misleading electronic messages sent without an appropriate basis for contacting the recipient. It may be sent by email, text message, messaging platforms or other electronic channels.
Examples include:
-
Bulk marketing sent to recipients whose eligibility to receive it has not been checked.
-
Messages using misleading sender details, subject lines or claims.
-
Marketing sent after a recipient has opted out.
-
Messages designed to conceal their commercial purpose or bypass spam controls.
3. Our communication standards
Before sending marketing communications, Postpack Ltd must establish and record an appropriate basis for contacting the intended recipients, including consent where required.
All marketing communications must:
-
Clearly identify Postpack Ltd and the purpose of the message.
-
Use accurate sender details and subject lines.
-
Contain relevant, truthful content.
-
Provide a clear, simple way to unsubscribe or object to further marketing.
-
Respect recipients’ communication preferences.
Consent must not be assumed merely because an email address is publicly available or someone has contacted the company.
4. Mailing lists and contact information
Employees and service providers must use only approved contact lists and communication systems.
Postpack Ltd prohibits:
-
Harvesting email addresses or using automated tools to collect contact details for unsolicited marketing.
-
Using purchased, rented or third-party lists without documented checks and approval from the policy owner.
-
Adding contacts to marketing lists without an appropriate basis.
-
Sharing or selling contact lists for unauthorised marketing.
-
Reintroducing unsubscribed contacts into campaigns without a verified, appropriate basis.
Records must show where marketing contact details came from and, where applicable, when and how consent was obtained.
Access to contact information must be limited to authorised personnel.
5. Unsubscribe requests
Recipients must be able to opt out of marketing without charge or unnecessary steps. Email marketing must include a working unsubscribe link or another straightforward opt-out method.
Postpack Ltd will process opt-out requests promptly and exclude the recipient from further marketing covered by the request. Campaign lists must be checked against current suppression records before sending.
We may retain the minimum information necessary in a suppression record to ensure that an opt-out continues to be respected.
Unsubscribing from marketing does not prevent essential communications about an order, delivery, account, service issue or other existing transaction. These messages must remain focused on their operational purpose and must not be used to bypass a marketing opt-out.
6. Third-party communications
Any supplier or agency sending messages on behalf of Postpack Ltd must follow this policy and use approved recipient lists, content and sending arrangements.
The employee responsible for the supplier must ensure that unsubscribe requests, complaints and suppression records are handled consistently across the company and the supplier.
7. Preventing misuse
Postpack Ltd’s systems must not be used to send spam, deceptive messages, malicious links or attachments, or unauthorised bulk communications.
Employees must report suspected account compromise, unusual sending activity or misuse of company mailing lists promptly through the company’s internal reporting process. Affected campaigns must be paused while credible concerns are investigated.
8. Complaints and reporting
Anyone who believes they have received spam from Postpack Ltd should contact:
Email: sales@postpack.co.uk
Please provide the sender address, the date of the message and a copy of the message where possible.
Postpack Ltd will investigate complaints, honour relevant opt-out requests and take corrective action where necessary.
9. Responsibilities and enforcement
The policy owner is responsible for maintaining this policy, approving marketing processes and overseeing complaints.
Anyone sending communications on behalf of Postpack Ltd is responsible for following this policy. Breaches may lead to restrictions on system access, disciplinary action or termination of supplier arrangements, as appropriate.
This policy will be reviewed annually and whenever significant changes to communication practices or applicable requirements make an earlier review necessary.
